AI note taker without a bot for sales calls

An AI note taker without a bot gives you the recording and the notes with no robot joining the call. Here are the options on Meet, Zoom and Teams, and their limits.

You open a demo and one more participant shows up: "Julien's Notetaker". The prospect asks who that is. You want an AI note taker without a bot, so you keep the recording and the notes without that question at the start of the call.

It can be done. You need a tool that captures the sound from your own computer instead of sending a robot into the meeting. Here are the options, their limits, and what to check.

Why does a notetaker bot get in the way of a sales call?

  • It shows up as a participant. Its name stays in the list from start to finish.
  • The prospect asks who it is. You spend the first minute explaining a tool instead of talking about their problem.
  • The customer's IT can block it. Some companies refuse unidentified external participants, or leave them in the waiting room.
  • It changes the tone. Someone who sees a robot listening picks their words, and you hear less of what they really think.

The problem is not the recording. It is one more guest that nobody on the customer's side invited.

How do you get an AI note taker without a bot?

There are three options, from the best known to the lightest.

The built-in recording of Meet, Zoom or Teams

Every video tool can record: the button is inside the meeting. But depending on the tool and the plan, it may need a paid plan or host rights. And when the customer is hosting, the decision is not yours.

What you mostly get is a file, sometimes a transcript. What was said is neither filed in the customer's record nor compared with your other conversations.

Software installed on your computer

It captures your machine's sound, whatever the app. No participant is added. On the other hand, it is one more piece of software, sometimes refused on a computer managed by IT, and the file still has to be worked through.

A browser extension

If you hold your meetings in the browser, an extension captures the tab's sound and your microphone. Nothing appears in the participant list. It is the lightest way to record Google Meet without a bot, with one limit: it does not work in the installed Zoom or Teams apps.

What you needWhat you get
Built-in recording: depending on the tool, a suitable plan or host rightsA file, sometimes a transcript
Software on your computer: permission to install itA file to work through
Browser extension: the meeting open in the browserDepending on the extension, the recording then the analysis

What to check in a bot-free meeting recorder

  • Both sides are captured. Your voice and the customer's. A tool that only records your mic gives you half the conversation.
  • It works where you hold your meetings. Browser, installed app, or both. Check before a demo, not during one.
  • You start the recording. Not every meeting in your calendar by default.
  • You know where the data goes. Where it is stored, whether it trains an AI, how to delete it all.
  • Something happens afterwards. A transcript, then an analysis filed in the customer's record. Otherwise you pile up files nobody listens to.

No bot does not mean no notice. The customer must know the conversation is being recorded.

One sentence when the call opens is enough: I am going to record this so I can prepare the next step, tell me if you would rather I didn't. The GDPR also asks you to know why you record, to set a retention period and to be able to erase on request.

The best AI notetaker without a bot for sales calls: how we do it

Our Chrome extension records your Google Meet, Zoom and Teams meetings opened in the browser. No participant is added. You start the recording yourself, meeting by meeting.

  • You open the meeting in Chrome and start the recording.
  • The conversation is analysed and joins the customer's file: objections, competitors named, commitments made on each side.
  • The assistant then answers your questions with your customers' own words.

One limit, to be clear: the extension does not work in the Zoom or Teams apps installed on your computer. If a customer sends you a Zoom or Teams link, open it in the browser. And if you already have an audio or video file, import it directly.

Your meetings recorded, without a bot

No bot joins the meeting: you start the recording from Chrome, on Meet, Zoom or Teams. Then the conversation is analysed and filed in the customer's record.

Frequently asked questions

How do I record a Google Meet without a bot showing up?

Use a tool that captures the sound from your computer rather than a bot: a browser extension or installed software. Nothing is added to the participant list. Still tell the customer you are recording.

Is it legal to record without a bot showing?

Yes, as long as you give notice. Having no bot does not exempt you from telling people: announce the recording at the start, let the person decline, set a retention period and be able to erase.

Why do clients refuse meeting bots?

Because an unknown participant enters their meeting. They do not know where the recording goes, and some IT departments block unidentified external participants.

Does the extension work in the Zoom or Teams desktop app?

No. It records Google Meet, Zoom and Teams in Chrome only. For a Zoom or Teams meeting, open the link in the browser rather than in the app.
